Open the shared inbox, pick reply-as-yourself vs as the community, leave private mod notes, and use saved responses.

Scope
Mod mail is the shared inbox moderators use to talk with each other and with community members. This guide is for clearing and answering that inbox. It is not the post/comment mod queue — use the mod queue workflow guide for Needs Review and Reported items.
Accessing and responding typically requires Mail / Manage Mod Mail permission. If the inbox will not open, ask a full-permissions mod to check your permission set.
Open mod mail
On reddit.com
- Click Mod Mail in the left-hand sidebar, or
- Open your mod mail inbox directly, or
- Use the shield icon at the top right where that entry is shown.
On iOS and Android
- Open the community side drawer → Moderating → Mod Mail, or
- From the community’s mod tools, open Mod Mail under Activity.
Three reply modes
When you respond on desktop, Help documents a dropdown with three options:
- Reply as myself — visible to the user and other mods; your username is the sender.
- Reply as the subreddit — appears as the community to the user; other mods still see that you sent it (Help notes a [hidden] marker beside your name for teammates).
- Create a Private Moderator Note — only mods see it; Help describes a colored left border to distinguish it from public replies.
On mobile, Help describes cycling the avatar control (or using a mod-note control on iOS) until the UI shows replying as yourself, as the mod team, or as a private note. Look for the green mod shield when you intend to speak as the team.
Use private notes for teammate context (“second warning already sent Tuesday”) — not for messages you expect the user to read.
Saved responses
- Click or tap the saved response control near the composer.
- Pick a response.
- Edit the filled text so it answers this person’s actual question.
- Confirm whether you are sending as yourself or as the community, then send.
Saved responses for mod mail are set up in Mod Tools → Saved Responses with a mod-mail category. Keep templates short and specific; a vague “read the rules” reply often creates a second ticket.
Start a new conversation
On desktop, use the compose control to pick a community you moderate, then message another moderator of that community, a user, or another community. On mobile, Help describes an add control with Moderators / User / Community recipients, then choosing whether to send as the community or as yourself.
Typing indicator
A typing indicator shows when another moderator is already drafting a reply. Wait or coordinate in a private note instead of sending two overlapping answers.
What members see when they message you
Members should use Message the mods (web sidebar) or Message moderators (app overflow on the community page), not a personal chat. Help says replies appear in the member’s chat inbox with a MOD label. Large communities can be slow to respond — set expectations in your community guide if you publish one.
Triage checklist
- Is this actually a queue item (removed post appeal) that needs the mod queue first?
- Has a teammate already started typing?
- Should the public reply be from the community (policy) or from you (personal clarification)?
- Do teammates need a private note before anyone replies?
- Can a saved response be edited into a precise answer in under a minute?
